A step-by-step guide for hosts, wedding planners, and event organizers. From creating your first event to downloading every photo.
Overview
Capture lets you create a private photo gallery, generate a QR code, and share it with your guests. They scan the code, upload photos from their browser — no app download, no account needed. You moderate the gallery, download everything in full resolution, and keep every memory from every angle. This guide walks you through every step.

Step 01
Create Your Event
Set up a private photo gallery for your event in under two minutes.
Open the Capture app and tap the "+" button on your home screen. You'll be guided through a simple setup: give your event a name (e.g., "Sarah & John's Wedding"), add an optional description for your guests, and pick the event date.
During setup, you can also choose a Challenge Pack — curated photo prompts that encourage guests to capture specific moments like "The First Dance" or "Best Dressed Guest." These challenges gamify the experience and drive 3x more uploads than passive galleries.
You can also enable the Guest Book feature, which lets guests leave selfies, written messages, and voice notes alongside their photos — perfect for weddings and milestone celebrations.
Tip: Create your event 1–2 weeks before the date. This gives you time to print QR codes and incorporate them into your event materials.
Tip: Choose a clear, recognizable event name — your guests will see it when they join.
Step 02
Share Your QR Code
Every event gets a unique QR code. Display it, share it, print it — guests scan to join.
Once your event is created, Capture generates a unique QR code and join code automatically. Open your event and tap the share icon to access it. From there you can display the QR code on screen, save it as an image, or share it directly via WhatsApp, iMessage, or email.
For maximum participation at your event, print the QR code and place it where guests will naturally see it. The most effective placements are: on every table (via table cards), at the venue entrance, near the bar or food station, at the photo booth, and even in the restrooms.
You can also share the join code as text — guests can enter it manually in the app if they prefer. But QR scanning is faster and has a significantly higher conversion rate.
Tip: Print QR codes at minimum 3×3 cm for table cards and 10×10 cm for signage. Use matte or semi-gloss paper — high-gloss reflects light and interferes with scanning.
Tip: Have the MC or host announce the QR code during the first 30 minutes: "Scan the code on your table to share your photos with us." This single mention can double participation.
Tip: For digital invitations, include the QR code or share link so guests can start uploading even before the event begins.
Step 03
How Guests Join
Zero friction for guests. No app download required, no account needed.
When guests scan your QR code with their phone camera, it opens a mobile-optimized page in their browser. They enter a display name — that's it. No email, no password, no account creation. They can immediately start viewing and uploading photos.
For the full social experience — including the live feed, gallery browsing, reactions, comments, and photo challenges — guests can download the free Capture app from the App Store or Google Play. But it's entirely optional; browser-based uploading works perfectly for casual guests.
Guests can upload photos they've just taken or select existing ones from their camera roll. All photos are stored in original resolution — no compression, no quality loss. Whether your event has 20 guests or 2,000, every person can contribute.
Tip: Reassure older or less tech-savvy guests: "Just point your phone camera at the code and tap the link." Post-COVID, QR code scanning is second nature for all age groups.
Tip: Guests don't need Wi-Fi — they can upload using their mobile data connection.
Step 04
Manage Your Gallery & Guests
Full host control — moderate photos, manage guests, and monitor your event.
As the event host, you have complete control over your gallery. From the Host Dashboard, you can see all your events at a glance with aggregate stats: total events, total photos, and total guests across all your galleries.
Within each event, you can manage guests — see who has joined, how many photos each guest has uploaded, and remove participants if needed. You also have full moderation control over the gallery: tap and hold on any photo to delete it, or review uploads as they come in.
Use the Announcements feature to send messages to all guests in your event — perfect for coordinating group photos, reminding guests to upload, or sharing post-event thank-you messages.
Tip: Do a light moderation pass during the event to remove duplicates or accidental screenshots. Save the thorough curation for the next day.
Tip: Send an announcement 1–2 hours into the event: "Keep the photos coming! Scan the QR code to share your best moments."
Step 05
Drive Engagement with Photo Challenges
Gamify the experience with curated challenge packs that encourage guests to capture specific moments.
Photo Challenges are curated prompts that appear in your guests' app — things like "Capture the best dance move," "Find the couple's first kiss," or "Selfie with the DJ." They turn passive photo-taking into an interactive game.
When creating your event, you can attach a Challenge Pack — a themed set of challenges tailored to your event type. Wedding packs, party packs, and corporate event packs are available. Each challenge becomes a mini-mission for guests, driving significantly more (and more creative) uploads.
Guests see the challenges in their feed and can mark them as completed when they've captured the moment. It creates a fun, competitive energy that keeps guests engaged throughout the event.
Tip: Announce the challenges at the start of the event: "Check the Capture app for fun photo challenges — see if you can complete them all!"
Tip: Challenge packs work especially well at weddings, where they encourage guests to capture moments the photographer might miss.
Step 06
Collect Guest Book Entries
Let guests leave selfies, messages, and voice notes — a digital keepsake beyond just photos.
The Guest Book is a special feature you can enable during event creation. It creates a dedicated space where guests can leave more than just photos — they can record selfie videos, write heartfelt messages, and even leave voice notes.
Think of it as a modern version of the traditional wedding guest book, but richer. Instead of a signature and a one-line wish, guests leave multimedia entries that you can revisit for years. Every entry is timestamped and tied to the guest's profile.
After the event, the Guest Book becomes a digital keepsake. Browse through the entries, relive the messages, and download everything alongside your photo gallery.
Tip: Place a small sign next to the QR code: "Leave a message in our Guest Book!" — this prompts guests to do more than just upload photos.
Tip: The Guest Book is especially meaningful for weddings, retirement parties, and milestone birthdays where personal messages carry extra weight.
Step 07
Download & Export Your Photos
Download the full collection in original resolution. Every photo, every angle, every memory.
When you're ready, head to the Album Export section in your event. You can download the entire photo collection in original resolution — no compression, no quality loss. Every photo your guests uploaded is preserved exactly as it was captured.
We strongly recommend downloading within 30 days of the event, while the gallery is fresh. Create at least two backups: one local (external hard drive or SSD) and one cloud backup (Google Drive, iCloud, or Dropbox). Memories are irreplaceable.
Consider ordering prints while the emotions are still fresh. Digital photos rarely get printed, but printed photos become cherished objects. Photo books, canvas prints, and framed enlargements of the best guest shots make wonderful post-event gifts.
Tip: Download the collection before your gallery's retention period expires. You control how long the gallery stays active.
Tip: Send a follow-up message to guests within 7 days with a link to the gallery — this captures any late uploads and lets everyone browse the collection.

Set Up a Live Photo Wall
Connect a TV or projector to display guest photos in real time. Open the Slideshow view in your event, enter full-screen mode, and photos appear on screen within seconds of being uploaded. It creates energy, drives more uploads, and becomes the centerpiece of the celebration.
Photo Booth Mode
Turn any iPad or tablet into a photo booth. Guests can take fun, styled photos that go directly into the shared gallery — no separate photo booth rental needed.
Timeline View
Browse your event's photos chronologically with the Timeline view. See exactly when each moment was captured and relive the event as it unfolded, from the first arrivals to the last dance.
Frequently Asked Questions
Is Capture free to use?
Capture offers a subscription that unlocks event creation. Once subscribed, you can create unlimited events with unlimited guests and unlimited photo uploads. Guests always join for free — they never need to pay or subscribe.
Do I need to set up the event on the day?
No — create your event and generate the QR code 1–2 weeks before. This gives you time to print QR codes and incorporate them into your event materials (table cards, signage, invitations). On the day, everything is already set up and ready to go.
Can guests join without downloading the app?
Yes. Guests scan the QR code and upload photos directly from their mobile browser — no app download needed. For the full social experience (live feed, reactions, challenges, gallery browsing), they can optionally download the free Capture app.
How many events can I create?
There's no limit. Create as many events as you need — one for the ceremony, one for the reception, one for the after-party. Or manage multiple client events from the same account. Switch between them from your Host Dashboard.
What happens to my photos if I cancel my subscription?
Download your gallery before your subscription ends. Once downloaded, your photos are yours forever on your local device. We recommend keeping a local backup on a hard drive in addition to any cloud storage.
Can I use Capture for corporate events?
Absolutely. Capture works for any event type — weddings, corporate events, birthdays, festivals, galas, and more. The gallery is private, host-controlled, and not indexed by search engines, making it suitable for corporate environments with privacy requirements.
