Key Facts
Design for the whole workforce
Holiday parties should not assume one religious calendar, family structure, dietary pattern, mobility level, drinking preference, or social style. Offer meaningful alcohol-free options, accessible participation, and a format that does not penalize people who decline after-hours events.
Make attendance expectations explicit. A celebration framed as optional should not quietly affect workplace standing or recognition.
Treat photos as workplace data
Tell attendees what the private gallery is for, who can access it, whether a live wall is running, how moderation works, and how to request removal. Uploading to an event gallery should not automatically be treated as permission for every marketing use.
Use Capture's host controls and moderation for the collection, then route any image selected for external communications through the organization's normal approval process.
Plan safety and the close
Provide transport information, responsible alcohol service, clear conduct expectations, and named escalation contacts. Confirm which vendor or internal team holds responsibility at each point in the evening.
After the party, download only the content the organization is authorized to retain, separate internal memories from approved promotional assets, respond to removal requests, and document improvements for the next event.
Frequently Asked Questions
How far ahead should a company holiday party be planned?
Start early when approvals, procurement, popular dates, venues, security, or transport are involved.
Should employee party photos be public?
Not by default. Use a private event space and a separate review before anything is used publicly or for marketing.
Can we use a live photo wall?
Yes, but configure moderation, explain the display to attendees, and avoid showing confidential or inappropriate content.
Do attendees need to install Capture?
No. Browser uploads are available through the QR code, while the optional app supports the fuller social experience.
