Wedding Reception Sign Checklist

Updated July 2026

TL;DR

Use signs only where they prevent confusion or invite a meaningful action. Most receptions need some combination of welcome, seating, bar or menu, guest book, card and gift, unplugged-ceremony, photo sharing, accessibility, transport, and end-of-night signs—but not every wedding needs all of them.

Use signs to answer real questions

Walk through the venue as a first-time guest. Where would you wonder where to go, what happens next, whether a drink is included, or how to join an activity? Those moments justify signage.

Do not duplicate information the venue already presents clearly. Too many styled signs can become visual noise and make the genuinely important instructions harder to notice.

Make participation signs actionable

A guest-book or photo-sharing sign should use a verb and explain the result: scan to share your photos, leave a message for the couple, or upload to see your photo on the live wall.

Put Capture QR signs close to the activity and repeat them at tables or other natural pauses. Use one event code throughout so guests do not have to distinguish between several galleries.

Proof the words and the physical object

Confirm names, times, menu details, transport, and accessibility information with the responsible vendor before printing. A beautiful sign with an outdated shuttle time creates more confusion than no sign.

Check font size, contrast, glare, stability, and placement in the fully dressed room. Flowers, candles, glassware, and people can block a sign that looked visible on an empty floor plan.

Frequently Asked Questions

What signs are essential at a wedding reception?

Essential signs are the ones required for wayfinding, seating, safety, or an activity guests would not otherwise understand.

Do we need a sign at every table?

Not for every message, but nearby QR table cards are useful when you want all guests to contribute photos.

What should a photo-sharing sign say?

Use a direct line such as: Scan to share your photos with us. Add: No app needed if that is part of the guest flow.

When should signs be printed?

Print only after the underlying logistics and links are confirmed, leaving enough time for one physical proof and corrections.
